Export - Share - Import - Update - Delete

export

Exporting all or part of your assets quickly and easily is essential in many situations. Whether it is to transmit information to your insurer in the event of a claim or theft, to share it with a third party during a resale or a request for expertise, or to prepare a distribution in the context of an inheritance or a donation, the possible uses of an export are numerous.

How to do it?

When you are in your assets, click on “Actions” (the icon with three horizontal dots) in the navigation bar at the bottom of your screen. Then select “Export selection”. The number of objects affected by the export is automatically displayed.

Attention: this selection depends on filters applied to your inventory. So, if you want to export only objects that are located in a specific location, start by selecting that location in the filters, applying the filtering, and then starting the export.

Export selection

Two types of export are available to you: an export Excel (.xlsx) or an export PDF. After choosing the desired format, all you have to do is select the fields you want to appear in your export. By default, the proposed fields correspond to those you have chosen to display in your assets. You can manage this visibility in Account > Wealth information > Field visibility.

Once the fields are selected, your PIN code you will be asked for security reasons. After validation, wait a few seconds: you can then upload your export or thesend directly to the person of your choice (by email, WhatsApp or any other means of sharing).

Download photos, documents and media

Due to format constraints, the Excel export does not include photos, documents, or other media. PDF export, on the other hand, integrates photos and documents, but does not export videos or audio files.

To download photos, documents, videos, or audios related to an object, simply access it from your inventory. On the object sheet, click on the desired document or media, then select the option Download.

Sharing an object

From the object card, the button located at the top right (the three vertical dots) gives you access to several actions, including Export object or Share the object.

The option Export object allows you to generate an Excel or PDF file, in which you can then select the fields to include, as described above.

The option Share the object, for its part, generates a form simplified to JPEG. This format is ideal for quickly presenting a new acquisition to those around you: it is a more “social” export, less technical than traditional export.

import

In addition to being able to manually create an object by clicking on the “+” in the navigation bar, the application allows you to import your existing inventory via an Excel file. This feature eliminates the need to add items one at a time if you already have an inventory, and it also makes it easy to create items directly in Objectory. It is sometimes easier to enter information on a computer with Excel than on a smartphone.

How to do it?

When you are in your assets, click on “Actions” (the icon with three horizontal dots) in the navigation bar at the bottom of your screen. Then select “Excel import (.xlsx)”.

  1. To facilitate the import of your data, start by creating an Excel template in the right format by exporting. On the Import page, click “Going to export”, select the fields you want to appear in your file. By default, the proposed fields correspond to those you have chosen to display in your assets. You can manage this visibility in Account > Wealth information > Field visibility. Then enter your PIN code, then start the export. The easiest way is to email the file to you.
  2. Once the Excel file is opened on your computer, you will see your import template with a predefined format. Do not change the order of the columns or the contents of the cells in rows 1 through 4. Your data should adapt to this format, not the other way around. If a field provided in Objectory does not appear in the file, redo an export by selecting this field before generating the file.
  3. In this Excel file, you will see the data of your objects currently present in Objectory. Any change in this data will result in updating corresponding in the application. The updates are based on the object name : if the name is changed, a new object will be created. You can also choose to delete some rows; in this case, there will be no updates for these objects in Objectory. Attention: An update to an existing object cannot be cancelled.‍
  4. Then manually create new objects by filling in the columns. Respect the format of the cells and the number of characters, referring to the rules and examples provided. If you already have inventory, you can copy and paste your information from one Excel file to another in the corresponding columns.
  5. Then all you have to do is email this file to yourself. Open it on your smartphone and download it on your device. Go back in Import, click on Select a file, then on import. Your new items will then appear in your assets on Objectory. All you have left to do is manually add photos, documents, and media for each object.
Pay attention to updating your objects via import

Each object imported via an Excel file is associated with a label showing the date of import. The updates related to this import have the same label. So, if an error occurred during an import, you can filter your inventory by this label, then use the button Actions in the navigation bar for remove selection.

Attention: If you delete objects with this label, all objects associated with this import will be deleted, including those that already existed and were updated via this import.

It is also possible To edit an object by clicking on the small pencil on the object sheet. For small changes, this method is preferable.

Delete

For security reasons, deleting an object is irreversible. It can be done from the object form via the button at the top right (three vertical dots), or from the navigation bar using the button Actions (three horizontal points).

In the second case, the deletion is based on the current inventory selection, filtered according to your criteria. It is therefore strongly recommended to check the selected objects carefully before confirming, as any deletion is final and it is possible that a label or field error has been made

Multi-users

Whether for a heritage familial or vocational, giving access to a single member is rarely enough. That's why Objectory offers three different roles : theAdministrator, theEditor And the Reader. Each of these roles has specific rights.

The administrator

The user who created the assets in the application is Default Administrator. It therefore has all rights and functionalities offered by its Objectory subscription.

An administrator can giving access to heritage to other members by giving them a role, and can also nominate another director.

Attention: Objectory does not handle simultaneous changes by two users who would attempt to change the same data. So think carefully before giving this role to a member.

The editor

The role Editor is generally intended for a spouse or an employee to whom you want to give certain rights limited. The publisher can create objects and update information about him, Do exports, but all sensitive actions are forbidden to him.

Thus, an editor cannot :

  • change the asset settings,
  • perform an import or an update via Excel,
  • delete an object,
  • delete documents or media,
  • access objects hidden by the administrator.
The reader

The role Reader of an asset is generally attributed to children or collaborators to whom one wishes only give visibility, without the possibility of importing, modifying or exporting.

A reader can consult the heritage content, but no action is allowed. He can't

  • add or import new objects,
  • update or modify existing objects
  • export or share objects,
  • have access to asset settings,
  • access to hidden objects by the administrator.
Add a new member to the estate.

To add a new member to your assets, certain actions must be performed by both the asset administrator and the user who wishes to join them.

As a wealth administrator:

  1. Go in Account and select the estate where you want to add a member.
  2. Click on Users.
  3. You will see theidentifying of your assets to be transmitted to the user.
  4. Once the user has followed the steps to join the estate, a Request for addition Will appear in space Multiuser. All you need to do is Accept it And ofassign a role to this new member.

As a user wishing to join a heritage:

  1. Download Objectory and create an account.
  2. You can either create your own wealth (paid option), or join an existing heritage.
  3. Click on Joining an existing heritage and enter the asset identifier sent by the administrator.
  4. Once the request is sent, the administrator will be able to accept or refuse your request and assign you a role in its heritage.

Additional Information:

  • Joining an existing heritage is gratuitous, regardless of the role assigned.
  • According to the administrator's subscription, the number of members per estate may be limited.
  • For security reasons, in particular when changing the password, it may happen that the heritage password is requested again from the various members. This verification ensures the protection and integrity of the heritage.
